Job Summary:
We are seeking a proactive and detail-oriented Executive Assistant to support senior executives at our business consulting company. The ideal candidate will act as a strategic partner to the leadership team, ensuring seamless operations and helping to drive organizational goals. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
· Administrative Support:
- Manage executives calendars, schedule appointments, and coordinate meetings.
- Prepare agendas, take minutes, and follow up on action items.
- Handle correspondence, emails, and phone calls on behalf of executives.
· Project Coordination:
- Assist in planning, tracking, and executing business consulting projects.
- Collaborate with internal teams and external clients to ensure project milestones are met.
- Research and compile data for reports and presentations.
· Travel Management:
- Arrange domestic and international travel, including itineraries, accommodations, and transportation.
- Process travel expense reports and ensure compliance with company policies.
· Document Management:
- Prepare, review, and edit documents, presentations, and reports for accuracy and consistency.
- Maintain organized filing systems for easy retrieval of critical information.
· Stakeholder Engagement:
- Act as the point of contact for clients, partners, and vendors.
- Build strong relationships and ensure professional communication with stakeholders.
· Confidentiality and Discretion:
- Handle sensitive and confidential information with the utmost integrity.
- Anticipate executives needs and ensure confidentiality at all times.
Qualifications and Skills:
- Education: Bachelor’s degree in Business Administration, Management, or a related field.
- Experience:
- 3+ years of experience as an Executive Assistant, preferably in a consulting or corporate environment.
- Experience in project management or client-facing roles is a plus.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools (e.g., Asana, Trello).
